When will your wedding photos arrive? Plan the whole handoff.

A first preview, a complete gallery and a finished thank-you card are three different milestones. Make a plan for the one you actually need.

For wedding photo delivery, confirm the full-gallery date or window separately from any sneak peek. Then work backward from any date you need a photograph for a card, gift or display. That early selection is not the complete gallery, and it does not establish a printing or album deadline.

I’m Muyinza, a wedding photographer based in Boston and serving Greater Boston and New England. This guide helps you compare delivery answers and prepare a useful inquiry. Whether your celebration is in Boston, Portland, Maine or New Hampshire, the useful starting point is your actual wedding date and what you want to do with the photographs afterward.

Separate the promises

Ask which delivery milestone an answer describes.

“Your photos will be ready” is incomplete if one person means a few previews and the other means the whole wedding. Keep these stages on separate lines when you compare written proposals. Only include a stage if it is part of the service you are discussing.

A gallery you can view is not necessarily the same thing as files you have downloaded. A digital gallery delivery date also does not tell you when an album will reach your door. Separating these questions makes offers easier to compare without assuming every photographer works the same way.

Start at the end

Work backward from the day you need the finished item.

Begin with the use, not just “we want photos quickly.” An online announcement needs a suitable file; a framed gift also needs a print made and delivered. A family thank-you card may depend on one particular group photograph rather than any attractive portrait from the day.

  1. Name the result. Write down what you want to make or share, who it is for and which people or moments need to appear.
  2. Record the real deadline. Is it the date a file must be uploaded, the day a gift must arrive or the day you hope to mail cards? Mark whether it is fixed or flexible.
  3. Ask the other provider. For a physical item, get the printer or album provider’s file requirements, approval steps and production and shipping schedule. Do not substitute a photographer’s gallery deadline for those answers.
  4. Check the photography dependency. Ask whether the agreed delivery can support that plan. If an early image selection is necessary, discuss it explicitly before relying on it. Availability, scope and any applicable charge need their own confirmation.
  5. Choose a fallback. If the dates do not fit, consider a later mailing date, a different image or a different gift. Make that decision before ordering something that depends on an unconfirmed file.

A fictional planning example

A couple wants to send a card showing both of their families together. They see an early-preview promise and assume that card can be designed as soon as the preview arrives. But the preview may focus on couple portraits and ceremony moments; it does not automatically include their chosen family group.

The useful booking question is: “We want a card with this family combination, and our printer needs the file by this date. Can that use fit the delivery we are discussing?” If the answer is not confirmed, the couple can wait for the full gallery or change the card plan. This is an invented example of a dependency, not a claim about a past client or a guaranteed early-image service.

Receiving and keeping the files

Make the handoff usable for both of you.

Agree on the delivery contact and how you will know the gallery is ready. If you expect to be traveling after the wedding, decide who will check the message and save the files. Ask what to do if the invitation does not arrive or a download fails; a social-media post is not a substitute for a confirmed handoff.

For files, ask which download option suits your purpose. A screenshot of a gallery may be convenient for reference, but it is not a substitute for the supplied file when preparing a print. Check the printer’s requirements against the file you receive. If you need a particular size, crop or format, raise that question before placing an order.

Ask about the end of access as well as the start. Record any gallery expiry date, download deadline and later retrieval terms. Once the files arrive, follow the delivery instructions, check that the saved copies open and keep another copy in a separate location. This is practical housekeeping; it does not imply that Muyinza or another photographer promises indefinite hosting, storage or recovery.

Permission to download, permission to print and permission for a business to use an image are separate questions. Describe your intended use and ask what is allowed. Before committing

Keep six delivery answers with your proposal.

  • Which previews, finished files and physical products are included in this proposal?
  • What date or window applies to each, and is it an estimate or a firm commitment?
  • When does each window start, and does anything depend on payment, image selection or approval?
  • Which files and permitted uses support the card, print or other result we want?
  • How long will viewing and download access last, and what happens afterward?
  • Who should we contact if an agreed delivery date passes, and how will an updated plan be communicated?

If you are already waiting, start with the delivery terms you agreed to and identify the specific milestone in question. A calm message can name the wedding date, the expected stage and the update you need. There is no need to treat another photographer’s advertised turnaround as your own agreement.

How long will it take to receive our wedding photos?

Confirm the complete-gallery delivery date or window for your wedding before booking. A preview deadline is a separate milestone. Muyinza’s wedding pages list a 48-hour sneak peek and state that the full-gallery timeline is confirmed during booking; the preview does not establish when every finished photograph will arrive.

Can we plan thank-you cards around the sneak peek?

Only after confirming that the preview can meet your needs. Ask whether the photograph you want can be included, what file will be available and whether your intended printing is permitted. Then check the card provider’s requirements and production schedule. An early selection may not contain the particular family group or portrait you want.

Does an online gallery mean our photos are stored forever?

No indefinite hosting or backup term should be assumed from the words online gallery. Ask when access or downloads expire, what notice is provided and what recovery options, if any, are available later. Save the delivered files as instructed and keep your own backup rather than relying only on a gallery link.

What should we include in a delivery question to Muyinza?

Share your wedding date, venue or shortlist, what you want to use the photographs for and the date you need them. Identify any particular people or pictures needed for that use. Say whether the deadline is fixed or flexible, then ask which delivery arrangements can be confirmed before booking.
